Job Description
The Jackson Laboratory in Bar Harbor, ME is seeking administrative support for the Facilities Engineering Department. The successful incumbent will complete clerical duties, construction administration document routing and support, and other administrative functions as required.
Responsibilities:
Perform routine clerical work in support of Facilities Engineering Department.
Answer phones and receive visitors, schedule appointments, assist in maintaining Project Managers calendars, arrange and coordinate meetings, events, travel and route inquiries to the appropriate party for resolution.
Perform technical document production, data organization, and duplication through the use of a variety of office equipment including, but not limited to PC, copier/scanner and maintain consumable office supplies for such equipment and department operations.
Maintain files and recordkeeping systems for routine processes including, archives, regulatory records, energy use, training, and other data intensive processes, but not limited to, project manuals and updates of resource materials.
Prepare a variety of materials from written or oral instructions including routine correspondence, charts, and spreadsheets, utilities PC's and standard desktop applications.
Receive, enter and assist with material procurement.
May be required to provide support to other Facilities Departments on occasion.
Required Experience
Minimum, three years clerical experience involving public contact, telephones, recordkeeping, file maintenance, databases, word processing, spreadsheets and data entry.
Ability to perform technical clerical work, perform routine administrative and accounting functions with speed and accuracy.
Ability to interpret and analyze information, work effectively under pressure and deadline with frequent interruptions. Use initiative and exercise independent judgment while maintaining effective working relationships with employees and general public.
Ability to gather data, compile information, prepare reports and presentations and draft business correspondence, often under tight time constraints.
Working knowledge of Microsoft Office Suite Applications as well as engineering and construction terminology, principles and practices.
